About the role

Are you an experienced SEND or school administrator looking for a new direction? Join a fast-growing education business where your organisation, understanding and attention to detail will help children and young people access well-coordinated support.

The Catchup Academy provides bespoke tuition and alternative provision for learners who need support beyond mainstream education. You will work closely with our account managers, tutors and families to keep attendance, progress information, review arrangements and learner records up to date.

Your role is to make the day-to-day coordination of provision run smoothly: following up missing information, answering routine questions and helping colleagues stay on top of important actions. You will have access to education, quality assurance and safeguarding colleagues for specialist advice.

What you will do

✓
Attendance: Check session attendance is recorded promptly, chase missing entries and follow agreed absence procedures. Flag unexplained absences or concerning patterns immediately through the appropriate route.
✓
Progress information: Track report deadlines, follow up tutor submissions and check reports are complete, clear and ready for review by the relevant colleague.
✓
Learner records: Maintain accurate referral details, provision arrangements, contacts, review dates and relevant documents in approved systems.
✓
EHCP administration: Organise relevant Education, Health and Care Plan information, record agreed outcomes and coordinate CUA contributions to reviews under the direction of education colleagues.
✓
Parent and tutor queries: Answer routine questions about sessions, schedules, reports and portal access. Record concerns and pass complaints or more complex matters to the appropriate colleague.
✓
Meeting support: Arrange reviews, prepare attendance and progress summaries, collate documents, take notes and follow up agreed actions.
✓
Tutexa support: Help tutors, colleagues and commissioners use the portal and follow up missing or incomplete information.
✓
Team support: Assist account managers with routine placement coordination, handovers and agreed cover during colleagues’ absences.
Clear responsibilities and support
You will own administrative follow-up and routine coordination, with clear procedures and escalation routes. You will not have sales, billing, pricing or commercial account targets, or formal line-management responsibilities. Safeguarding assessment, formal complaints and specialist education decisions remain with the relevant senior colleagues, and you won't be expected to lead complex LA quality assurance meetings or take responsibility for statutory EHCP decisions.

What you bring

✓
Relevant administrative or coordination experience in a school, SEND team, alternative provision, local authority or children’s service.
✓
Working knowledge of attendance records, learner progress reports and EHCP processes, or closely related experience with the ability to learn.
✓
Safeguarding awareness, discretion with sensitive information and confidence recognising when to escalate.
✓
A calm, helpful approach to parents, tutors and other professionals, including when someone is worried or frustrated.
✓
Strong organisation, accurate record-keeping and the confidence to chase actions politely and consistently.
✓
Clear written communication and confidence using email, spreadsheets and record-management systems. Tutexa training will be provided.

QTS and SENCO qualifications are not required. Experience using school information systems, preparing review paperwork or communicating regularly with families would be an advantage.
